1️⃣ Pre-Assessment Communication

Prior to the assessment, an official announcement will be shared on your eFundi module site.

This announcement will include:

  • All relevant assessment guidelines and instructions

  • Access / QR code details for The Invigilator

  • Platform information (Tests & Quizzes / Assignments)

  • Submission instructions and file format requirements

  • Any module-specific or unique instructions

⚠️ Important: Some assessments may have varying or unique login procedures — especially assessments that remain open for multiple days. Always read the announcement carefully and follow the specific instructions provided for your module.


2️⃣ 15 Minutes Before the Assessment

  • The QR / Access Code becomes active 15 minutes before the official start time. (Unless stated differently in your instructions)

  • The QR code will close at the official start time.

  • If you miss the cut-off, you will not be able to log in.

Action Steps:

  • Open the The Invigilator Web Agent on your PC browser. (Google Chrome or Edge)

  • Log in using the QR/Access Code. Pres start Immediately, do not wait for the assessment start time

  • Ensure your camera and microphone are functioning correctly.

  • Complete any required room, desk, or identity verification steps as instructed.

  • Prepare yourself and focus for the assessment.


3️⃣ At the Official Start Time

  • The assessment will open on eFundi under the location stated in the announcement (e.g., Tests & Quizzes or Assignments).

  • Follow all on-screen instructions carefully.

  • Adhere strictly to the guidelines provided in the announcement.

⚠️ Important:
The official submission time is the time reflected on eFundi, not the timer displayed on The Invigilator.


4️⃣ During the Assessment

  • Keep The Invigilator Web Agent running at all times.

  • Ensure you remain visible and compliant with invigilation requirements.

  • Save your work regularly (if typing).

  • If writing by hand:

    • Use clean white paper.

    • Write clearly and legibly.

    • Prepare to scan and upload clearly.


5️⃣ Completing the Assessment

When you are finished:

  1. Press “Finish” on The Invigilator.

    • This is crucial to submit your invigilation data.

    • Failure to press finish may result in incomplete invigilation records.

  2. Upload your assessment exactly as instructed in the announcement.

  3. Ensure:

    • All files are clear and readable.

    • Correct file formats are used.

    • Your name and student number appear where required.


Compulsory Invigilation Notice

  • The use of The Invigilator Web Agent (PC version) is COMPULSORY (Not the PC APP) for all assessments where required.

  • The mobile app may not be used as a stand-alone version — it may only be used in conjunction with the Web Agent when instructed.

  • Students who do not comply with invigilation requirements will be regarded as non-compliant with assessment regulations.


Pre-Assessment Checklist

Before your assessment day, ensure that you:

  • ✔ Confirm your assessment date and time

  • ✔ Read the announcement thoroughly

  • ✔ Test your camera and microphone

  • ✔ Complete any required mock test

  • ✔ Prepare a clear, well-lit workspace

  • ✔ Have sufficient paper, pens, and equipment ready

  • ✔ Ensure stable internet connectivity

  • ✔ Understand module-specific login requirements


Final Reminders

  • The official submission time is recorded on eFundi only.

  • The QR/Access Code closes at the official start time — log in early. (Unless instructions state otherwise)

  • Keep The Invigilator running until you have completed your assessment and uploads.

  • Always press Finish on The Invigilator before exiting.

  • Ensure all uploaded work is clear and easy for the lecturer to read.
